For parents and guardians: Detailed privacy notice
This detailed notice explains how classroom.cloud, provided by NetSupport, collects, uses, and protects children’s personal information as required by the Children’s Online Privacy Protection Act (COPPA) and other applicable laws (e.g. FERPA). Our aim is to be transparent and protect students’ data privacy. classroom.cloud is an educational online service for schools and is not a consumer product aimed directly at children. NetSupport contracts directly with schools; thus, under COPPA, we rely on schools to consent on parents’ behalf for the collection of students’ personal information in the context of learning. We only use children’s data to deliver classroom.cloud’s educational services for the benefit of the school and students, and never for any other commercial purpose.
What information we collect and why
We minimise data collection and collect only the information needed for your child to use classroom.cloud safely and effectively. The table below shows the types of personal information we collect from children and how we use it:
| Type of Personal Information | How We Use It (Purpose) |
| Basic account details provided by the school Name, class or group, and login identifier. | To create and manage your child’s account, identify them in the system (for example, showing their name in class), and ensure they are placed in the correct class or group. This information is usually given to us by your child’s school. |
| Device and technical information IP address, device ID and type, operating system, browser, and similar data about the device and network connection. | To let your child connect to and use the service, keep the service running properly, fix technical issues, and keep the account secure. For example, we use IP addresses to know where to deliver the service and to help with security monitoring. |
| Usage and activity data Information about how your child uses classroom.cloud, such as websites visited in class, apps used, messages or help requests they send, survey responses, reward points earned, or screen images during class activities. | To enable class learning features and protect students. For example, teachers can see students’ screens or the websites they visit in class, so they can guide learning and ensure students stay safe and on-task. We also automatically look for certain keywords or images that might indicate a student needs help or is unsafe, as part of our safeguarding features. This helps the school keep your child safe. |
| Support or service usage data If your child’s actions trigger any alerts or logs (like a flagged keyword or technical error), this might include parts of their content at that moment. | To maintain and improve the service, such as identifying bugs or enhancing features. Safeguarding alerts (e.g. flagged words/images) may include snippets of what was going on, to help the school respond appropriately. If any sensitive personal information is inadvertently collected (for example, something revealed through a flagged incident), we handle it with special care and only as allowed by the school’s instructions. |
Important: We do not ask children to provide more personal information than is needed for them to participate in classroom.cloud activities. All student-generated content (like their classwork or messages) remains the property of the student or school, and we process it solely as part of providing the service.
How We Use Personal Information
We use children’s personal information only for the purposes described above – mainly to deliver the classroom.cloud service and support your child’s education in a safe online environment. We do not use any personal information for advertising or marketing to your child. Your child will never be excluded or lose features for refusing to provide extra data beyond what’s necessary.
Who We Share Information With
We do not sell or share your child’s personal information for any unrelated purposes. The only sharing of data is with a few trusted service providers (sub-processors) who help us run classroom.cloud – for example, cloud hosting services or support tools. These providers are bound by contracts to protect your child’s data and use it only to provide the services we have requested, in line with this policy. NetSupport and its sub-processors will never use children’s personal data for targeted advertising or any purpose other than educational service delivery. Also, we will not make any important changes to how we collect, use, or share children’s data without first providing notice (for example, to your school).
How We Protect Your Child’s Information
We take security and privacy very seriously. NetSupport has strong technical and organisational measures in place to protect your child’s personal information. This includes using industry-standard security practices (we are ISO27001 certified), encryption and other safeguards, and limiting access to personal data. Only employees with a need to support your school’s use of classroom.cloud can access student data, and they are all bound by confidentiality obligations and background-checked and trained in data privacy and security every year. We also ensure any third-party service providers implement equivalent security measures to protect the data. We monitor our procedures regularly to keep data confidential, secure, and intact as required by law.
How Long We Keep Personal Information (Data Retention)
We only keep personal information for as long as necessary to fulfil the purposes above and to comply with our legal obligations. We delete or de-identify personal data when it is no longer needed. Specifically, when a school’s subscription ends, we usually retain the data for a short grace period (e.g. 30 days) in case the school renews or needs to recover data; after that, the data is permanently deleted from our systems. Certain safeguarding logs or audit data are automatically cleared after a set period (for example, safety alerts older than 13 months are purged, and some activity logs after 90 days), unless a longer retention is legally required or specifically requested by the school. Your child’s school also always has the ability to export or delete data at any time during the subscription.
Parents’ and Children’s Privacy Rights and Choices
Because classroom.cloud is provided through your child’s school, the school is responsible for obtaining any needed parental consent and managing student data access requests. Our agreement with schools clearly outlines that they have responsibility for ensuring that right to collect and use the personal data. You, as a parent or guardian, have the right to:
- Know what personal information we have collected from your child. You can ask your child’s school for a copy or review of your child’s personal information stored in classroom.cloud. Schools using our service have access to the records of their students’ information on the platform.
- Request deletion or stop further collection of your child’s data. At any time, you can contact your child’s school to request that your child’s information be deleted from classroom.cloud. The school can delete the data or ask us to delete it on their behalf, and we will promptly comply. You can also request that we stop any further collection or processing of your child’s information, for instance if you no longer want your child to use the service.
- Correct inaccurate information. If any of your child’s information in classroom.cloud is wrong or outdated, you may ask your child’s school to correct it. School staff with the right permissions can update certain information through their classroom.cloud administrator account, or they can contact us to correct or remove data if needed.
We encourage you to work with your child’s school to exercise these rights, since schools manage student accounts directly. However, you can also contact us (see Contact Us below) and we will assist in coordination with the school to address your request.
